Furniture Videnov gives great importance to the protection of personal data, and collects and processes personal data only in compliance with the requirements of local and European legislation. The purpose of this “Privacy Policy“ is to inform you how we process your data and what personal data we could collect about you, for what purpose, for how long where applicable, and what your rights are. The security of the data you entrust to us is very important to us. This is why we protect your data by implementing all appropriate technical and organizational means at our disposal to prevent unauthorized access, unauthorized or malicious use, loss or premature deletion of information.

 

2. What information do we collect and why?

 

We may collect personal information about you when you use our Site or select our services. ● When registering on our website – username, password and email

● Letters and emails that we receive from you in our communication

● Phone call records when you contact our specialized contact centers to serve you and improve our services

● Video camera footage when you visit our stores and administrative locations in order to ensure our security and yours

● Information related to applying for credit with one of our partners. As processors, we act on their behalf in these cases.

● Other data that we may also collect about you includes: IP address, demographic data and data provided when participating in special campaigns, games and sweepstakes, organized by us including through social platforms.

3. Purpose of processing your Personal Data
 
We process the personal data we collect mostly for the following purposes:

 

To enter into or perform a contract:
● identifying the customer through all commercial channels
● preparation of offers, contacts and all other documents accompanying the contract. Management and realization of your orders
● performing credit assessment through our credit partner
● delivery and installation
● preparation of accounting documents such as bills or invoices for purchased goods and used services such as delivery and installation
● providing service through our call center or email. Providing warranty service
● notifications related to our products and services

 

To fulfill our statutory duty:
● obligations provided in the Accounting ACV and the Tax and Social Security Procedure Code and other related regulations in connection with the keeping of proper and lawful accounting records

● the fulfilment of obligations in relation to distance selling, and off-premises selling provided for in the Consumer Protection Act

4. Who we share your information with:

 

Furniture Videnov uses third parties to support certain contractual activities or to perform a legal obligation. We do not provide your personal data to third parties until we are certain that all technical and organizational measures have been taken to protect that data and we aim to implement strict control to fulfill this purpose.
Some of the recipients of personal data may be:
● delivery companies, installation companies, courier companies, external consultants specialists, collection companies and law firms, security companies, persons who maintain equipment on commission, software and hardware used for processing personal data by Furniture Videnov, hosting companies and sales agents, etc.
 
In some cases, providing personal data is mandatory in order to comply with our legal requirements, such as:
● regulatory authorities, including state commissions, institutions and agencies, National Revenue Agency, National Social Security Institute, courts, public prosecutor`s office and others to whom we are obligated to provide personal data under applicable law.

5. Use of Cookies on the Site

6. Processing of anonymized data

 

We process your data for statistical purposes which means for analyses where the results are only aggregated and the data is anonymous – for example, for preferences of a certain age group towards a certain type of furniture. It is impossible to identify a specific person from this information.

 

7. Security

 

Furniture Videnov takes measures to protect your personal data from accidental loss and unauthorized access, use, alteration or disclosure. Policies and procedures are in place designed to protect information from loss, misuse and unauthorized disclosure. In addition, we take additional information security measures, including access controls, strong physical security and reliable information collection, storage and processing practices.
Additionally, we implement technical measures such as encryption, pseudonymization, and anonymization of collected personal data.

 

8. Data retention periods

 

We retain all the information we have collected about you and destroy it within the statutory time limits, and if none within the time limits set by us and after the final settlement of all our financial relationships. We do not keep your data indefinitely.
Some of the time limits are:
- 6 months from the time applying for a vacant position
- 5 years upon expiry of the limitation periods for making claims set out in the Obligations and Contracts Act
- 10 years under the Accountancy Act for the storage and processing of accounting data
- 5 years for obligations to provide information to the court, competent state authorities and other grounds provided for in the current legislation
- 30 days of recording in case of video surveillance and sound recording in the stores
- 5 years of sound recording in the case of telephone conversations.
In the case of anonymization of personal data, the limits do not apply as we cannot identify you.

 

9. Transfer between countries

 

The transfer, storage and processing of personal data is secured by modern technical means. Furniture Videnov will not transfer your data outside EEA without complying with the legal possibilities and will put in place appropriate precautionary measures to keep your information conferential

 

10. Your rights

 

You can ask Furniture Videnov to provide you with information about the personal data collected and held about you at any time. You may also request that Furniture Videnov correct, delete or update such personal data. Furniture Videnov also provides you the right to object and restrict the processing of personal data, as well as your rights under automated decision-making. You may withdraw your consent to the collection, storage and use of your personal data in relation to Furniture Videnov at any time. However, the withdrawal will not affect the lawfully processed data until the withdrawal.

Identity: We take the confidentiality of all documents containing personal data seriously. For this reason, please send us your request by completing an application on-site at our store locations using the email address provided on your Videnov Card registration application or eStore account. We reserve the right to verify your identity by requesting additional information to confirm it.
Fees: There is no fee for exercising your rights concerning personal information, except where the request for access to information is unreasonable, repeated or unnecessarily repetitive. In such cases, we would charge a reasonable amount of administrative cost. If necessary, we will inform you of any charges before we consider the specific request.
Response time: We respond to all valid requests within one month, unless the request is particularly complex or if you have made multiple requests, in which case we will respond within a maximum of two months. We will let you know if we need more than one month. We reserve the right not to respond to your request it if negatively affects the rights and freedoms of other data subjects.

 

 

Description of your rights:
●  Data access	You may ask us to: ● confirm that we are processing your personal data ● provide you with a copy of that data ● provide you with information about your personal data, such as the data we collect, how we use it, who we disclose it to, whether we transfer it overseas and how we protect it, how long we keep it, what right you have, how you make a complaint, how we acquired your data, that the information has not been provided to you through this Policy.
●  Data correction	You can ask us to correct or complete inaccurate or incomplete personal data about you. We may ask you to verify the inaccuracy of the data before we correct it.
●  Data erasure	You can ask us to delete your personal data in the following cases: ● they are no longer necessary for the purpose for which they were collected, or ● you have withdrawn your consent (if the processing is based on consent), or ● you exercise a legitimate right to object, or have been unlawfully  processed, or ● there is a legal obligation in this respect We are under no obligation to comply with your request to erase your personal data if the processing is required ● to comply with our legal obligation (for example for warranty periods or financial and accounting reporting), or ● to establish, exercise or defend our legal claim
●  Restriction of data processing	You can ask us to restrict the processing of your personal data, but only if: ● their accuracy is disputed (see the data correction section) so that we can verify their accuracy, or ● the processing is unlawful but you do not want to delete the data, or ●  they are no longer necessary for the purposes for which they were collected but we still need to establish, exercise or defend a legal claim, or ● you have already exercised your right to object and you are checking whether the domination of our rights is still available. We may continue to use your personal data as a result of a restriction request ● if we have your consent, or ● to establish, exercise or defend a legal claim, or ● to protect  the rights of Furniture Videnov Ltd or any other individual or legal entity
●  Data portability	You can ask us to provide your personal data in structured, commonly used and machine-readable format, or you can ask for it to be directly “transferred” to another data collector, but only if: ● the processing is based on your consent or the conclusion of a contract with you, and ● the processing is carried out by automatic means.
● Right to object	You may object at any time against the processing of your personal data based on our legitimate interest if you believe that your fundamental rights and freedoms override those interests. You may also object at any time against the processing of your personal data for direct marketing purposes (including the creation of profiles) without giving any reason, in which case the processing will be terminated as soon as possible.
●  Automated decision-making	You can ask us not to be subject to any decision based only on automatic processing but only where that decision: ● produces legal effects on you, or ● significantly affects you This right does not apply if the decision that was taken after the automated decision: ● is necessary for us to enter into or perform a contract with you   ● is permitted by the law and there are adequate guarantees for your rights and freedoms, or ● is based on your explicit consent

11. Changes to the current Privacy Policy

This Policy can be changed in time. Such changes will be effective immediately upon posting. Regularly reviewing our website will ensure that you are always aware of what information we collect, how and for what purposes Furniture Videnov uses it and under what circumstances (if any) we will share it with other parties.
